The Office Manager is responsible for all operational functions of the office, including the coordination and management of all administrative staff and functions, and usually maintenance of the facilities/environment. This position will partner closely with HR, IT, and India/US leadership to enable smooth office functioning.
Your role.
Your work will include, but not be limited to:
- Support the office managing partner with office related functions and administrative tasks including scheduling and maintaining calendars, expense reports, organizing/processing billing, and travel arrangements.
- Lead team of administrative assistants supporting partners and staff, fostering individual and team growth.
- Coordinate and oversees administrative processes within the office – looking for efficiencies and best practices.
- Act as the primary point of contact for building management and facility related issues.
- Oversee office administration budgets, track expenses, review invoices, and ensure cost‑effective operations.
- Manage vendor relationships, negotiate contracts for services, and ensure cost-effective solutions.
- Review and process invoices and payments in a timely manner.
- Coordinate/oversee office and staff events and meetings, collaborating with various office committees.
- Coordinate logistics for leadership visits, townhalls, events, trainings, and firm‑wide initiatives.
- Ensure consistent communication and alignment with US‑based stakeholders where needed.
- Ensure compliance with local employment, workplace safety, and statutory requirements (health & safety, fire drills, emergency preparedness).
- Maintain office documentation, records, licenses, and compliance trackers.
- Partner with HR and leadership on audits, inspections, and risk mitigation activities.
- Coordinate busy season meals and activities.
- Coordinate various database clean-up projects as needed.
- Other projects as assigned.
The qualifications.
- At least 8 + years of administrative, office management, project management, or related experience preferred in a corporate environment or professional services environment
- Bachelor’s degree in Administration, Management, or related fields is preferred.
- Experience managing travel, events, and office budgets is preferred
- Strong knowledge of local vendor management, facilities operations, and compliance requirements in India.
- Prior experience supporting a growing office or multi‑stakeholder environment is strongly preferred.
- Strong organizational and multitasking abilities.
- Excellent communication and interpersonal skills.
- This is an exempt position that may require some Saturday work hours during busy season(s)
- This position may require some local travel.
